About the Position

Administrative Coordinator
Beth Israel Congregation is a Conservative synagogue in Owings Mills, Maryland with 385 families. We are a warm, friendly and vibrant congregation that cherishes its past but is also planning boldly for the future. We have a small, highly committed staff who believe passionately in Jewish life and the value of Jewish community.
We seek an Administrative Coordinator (32 hrs/week) to serve as a key member of our office team. The successful candidate will be able to handle a variety of tasks which are critical to the synagogue’s daily operations, including assisting with the religious school (the Beth Israel Community Learning Lab, or BICLL).
We ask that this person be available 8:30 am to 12:30 pm on Sundays during the school year (whenever BICLL is in session), and Monday to Thursday during the week for 7 hours each day. During the summer, the additional 4 hours could be made up at the candidate’s convenience.
The Administrative Coordinator works closely with all staff members but is supervised by the Synagogue Director.
Beth Israel Office responsibilities include:
• Answering phones and greeting visitors to the building;
• Managing donation acknowledgments;
• Managing registration forms and lists;
• Keeping internal and public congregational calendars consistent and up-to-date;
• Responding to congregants’ emailed questions;
• Ordering office supplies;
• Assisting congregational committees with logistical tasks;
• Updating social media accounts and synagogue website;
• Using Constant Contact to create the synagogue’s weekly newsletter and single-topic emails;
• Collaborating with Affiliate groups (Sisterhood, Brotherhood and Hazak) to fulfill administrative needs (mailings, labels, scheduling, emails);
• Assisting with High Holiday ticket preparation and seat assignments, as well as other logistical tasks;
• Creating and sharing room set-ups with maintenance staff.
• Occasional attendance at large programs/events when additional staff are needed (no more than a few times per year)
School responsibilities include:

• Create and maintain class lists for teachers
• Assist with set-up and teacher technology needs
• Field parent questions in-person and by phone.
• Create book plates and certificates as needed

Qualifications
• Outstanding interpersonal skills
• Detail-oriented
• Shows good judgement and respects confidentiality
• Ability to keep track of multiple projects at once
• Ability to work as part of a team in a busy office environment
• A self-starter who feels comfortable managing tasks independently
• Familiarity with Microsoft Word, Excel, Adobe Office Suite, and Constant Contact
• Previous experience working in a synagogue and/or synagogue databases a plus.
• Basic Jewish knowledge helpful but not required
